Additional application letter guidelines
Address the letter to a specific individual not to an organization. Use a conventional letter arrangement that includes an inside address and a salutation.

  • ·         Try to find the name of the person who likely to interview your and address your letter to this person. ( you may have been told in an advertisement or position announcement the person to address. If this is a case, follow the instruction exactly although determining the correct courtesy title helps to personalize your letter.
  • ·         Make sure you know the addressee’s position in the organization, gender, and if possible how the persona prefers to be addressed for example, Dr., Mrs. , Ms., Mr., and professor. Be absolutely sure that you spell the addressee’s name correctly.
  • ·         Always use a courtesy title in both the inside address and the salutation. This advice applies to all business letters except those that omit completely the salutation and complementary close _ style that should not be used in application letter unless you find it absolutely impossible to obtain an individual’s name.
  • ·         When addressing a letter to a post box number, you have no appropriate word to use in a salutation; thus you should omit it. Do not use phrases such as gentlemen, Dear sir, and To whom it may concern.
  • ·         Use high – Quality stationery and envelopes.
  • ·         Keep the letter to on page.
  • ·         Produce error free and clean copy
  • ·         Do not be unduly humble and do not apologize for taking reader’s time. Remember that the employers are not doing you a favor by hiring you. If you, are qualified and a hard worker, the employing organization will benefit from the employment.
  • ·         Give concrete examples to provide you abilities; do not merely state that you have these qualities.
  • ·         Work for original phrasing and eliminate trite, unnecessary stereotyped writing.
  • ·         Word the first paragraph so that the reader clearly understands that you are applying for a particular kind of job.
