between two officers. It requires personal attention of the officer to whom it
is addressed. It is written when the message is confidential or urgent. It is
drafted in friendly and personal style.
The number beginning with D.O No is typed on the
center of the page, ten spaces below the top of the Page. The letterhead is
typed one space below the letter head. The subject line is subject line is

the subject line. It is generally written as my dear….., or Dear Mr….. the

of subordinate officers by the head of department. Circular are used in making
inquires, discussing questions of common policy, or issuing instructions to
lower authorities. A circular may be in letter, memo, or endorsement form.
What is notification and parts of notification?
Notification is used to officially announce postings,
appointments, promotions, and superannuation of gazette officers. Notification
is also official information about something that has happened or will happen,
or a document containing such information. It is published in the gazette of
Pakistan.
Parts of Notification
The letterhead is typed in the center ten spaces below
the top of the paper the Date is typed in the center of the papers two space
below the letterhead. The word notification is typed in capital letters three
spaces below the date line. The body is typed three spaces below the subject
line in keeping with the official letter. The name and designation of issuing
authority is typed five spaces below the body. Endorsement is type in the left
margin two spaces below the name and designation of issuing authority
