An order should be acknowledged
immediately if it cannot be fulfilled immediately. For small routine order a
printed acknowledgement or a postcard may be enough but a short letter stating
when delivery may be expected is better. It helps create goodwill.
A letter of acknowledgement is
not necessary for every order. In many instances, especially with a regular
customer, filling the order exactly an instructed and shipping it immediately
is acknowledged enough a good will sentence or two or a thank you is
appropriate on invoice.
A new customer should be sent a
letter of acknowledgement. If you need to draft a more elaborate
acknowledgement, being by expressing appreciation for the order and briefly
describing the merchandise order. Provide detail about the order in the body of
letter and when closing be sure to remind the reader of the benefits he or she
will enjoy from the merchandise.
